Reservation

1. Once we receive your inquiry, one of our tour agents will contact you and start planning a tour based on your needs within 24 hours.

2. Your booking will be confirmed upon receipt of advance payment as per the latest itinerary sent by us.

3. For all bookings, the customer must pay 20% – 50% in advance, which may vary depending on your arrival.

4. You will receive the relevant confirmation letter and payment receipt within 3 working days after the amount has been credited to our company’s account.

5. After we receive the payment receipt, all hotel, transportation and similar arrangements will be made by our company.

6. The balance amount of the tour package must be paid 15 days before the departure date.

Payment

1) The prices we quote are in US dollars.

2) Detailed payment instructions will be sent by your travel advisor by email. Full payment must be cleared by the bank prior to your departure date; otherwise, all reservations will be automatically canceled.

3) You are responsible for bank charges incurred by the bank that sent your payment.

You can pay:

1. Credit card (online or offline).

2. PayPal.

3. Wire transfer (bank transfer).

Cancellation and Refund

1)If you need to cancel your tour, you must submit a cancellation request in writing by notifying the Tour agent.

2)The cancellation fee will be imposed as shown below per person from the full payment

1. More than 45 days prior to departure: 10%

2. Between 15 and 45 days prior to departure: 20%

3. Between 7 and 14 days prior to departure: 50%

4. Between 0 and 6 days prior to departure: 100%

5. Additional cancellation fees imposed by service providers other than Aviana Ceylon Tours (including but not limited to banks or other payment platforms, vehicles, hotels, railway companies, etc.) will be deducted from the refund.

3)Try to postpone the tour as much as possible without canceling it. The amount of advance can be used again on the day of your arrival. It will change the total cost when you reschedule the tour.

4)Normally, we do not refund early checkouts during the tour.

5)We cannot refund any amount for unused services.

6)Aviyana Ceylon Tours will refund 100% of your refund if canceled 21 days before arrival in Sri Lanka if due to unfortunate reasons you cannot reach your destination such as the pandemic situation.

Changes in the Tour Itinerary

1)The amount of tour package totally depends on the tour itinerary. Our tour agent finalizes the tour package with you in a more flexible and desirable way. If a change is requested after the travel package has been confirmed and paid for in advance, the total amount may vary based on the change. (No day, no person, date of arrival, hotel, tour ticket, transport schedule, etc.)

2)Aviyana Ceylon Tours guarantees the agreed accommodation for the tour package chosen by the Customer. The customer is provided with detailed information about the selected hotel according to the package. Customers are requested to carefully research the selected hotel before confirming the booking. Once the booking is confirmed, we will book the hotel and they cannot be changed in any way before or after the guest arrives in Sri Lanka.

3)If the guest requests to change the hotel booking, we will do our best to arrange another hotel in the selected category; however, these expenses will be borne by the guests themselves.

Check List for Essentials

You should also make sure that your travel documents, passport, visa, driver’s license, insurance information and currency are in order.

Carefully check your flights time with ticket. Sometimes airlines make major adjustments to flight time after issue of our tour confirmation letter. Aviyana Ceylon Tours do not accept responsibility for these. Your responsibility to inform us regarding the alterations made to your flight times.

Passport & Visa

As a traveler you need to carry a valid passport and necessary Visas to start the tour. You are the responsible person for its validity and accuracy.

Travel Insurance

Aviyana Ceylon Tours hope you have a safe and enjoyable trip with us. But it’s also important to make sure you’re properly insured to protect against the unexpected. Before your departure date. We recommend that you take out appropriate insurance to cover many unexpected losses and losses like damage or loss of baggage, flight delay or cancellation, etc.

Limitation of Liability

1)Aviyana Ceylon Tours (ACT) has very severe liability restrictions. When it comes to suppliers like those who provide land, air, and water transportation, sightseeing excursions, cruises, and hotel accommodations or any other third party that is not directly owned or run by Aviyana Ceylon Tours the company expressly disclaims all liability. By using the travel services of the suppliers, you consent that neither ACT nor any representative of ACT shall be liable for any accident, injury, property damage or personal loss to you or to others traveling with you.

2)Without restriction, ACT disclaims all liability for any harm, loss, or damage to person or property, death, delay, or inconvenience associated with the provision of or failure to provide, any goods or services occasioned by, but not limited to, acts of God or force majeure, acts of war or civil unrest, insurrection or revolt, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of accommodations, insurrection or revolt and more. ACT shouldn’t be held accountable for the theft either.

3)ACT reserves the right, at any time, to amend the itinerary, substitute hotels of comparable quality, add or remove method of transport, or cancel the vacation before it leaves. ACT is responsible for returning all payments collected if a tour is postponed or cancelled before it begins. ACT won’t typically do this, though, unless compelled by unexpected events. As ACT is not liable for such airline ticket cancellation fees, if you buy an airline ticket independently, make sure your agent specifies the terms under which the ticket is issued.

4)In the event that costs rise as a result of changes in flight, cruise fare, currency fluctuations, taxes, or fuel surcharges, ACT reserves the right to adjust the program price. It also reserves the right to amend promotional or pricing errors at any time. Not all museums and attractions are open every day of the year, so please keep that in mind. If doing so allows you to see all the scheduled excursions, ACT retains the right to alter the order of sightseeing and/or reroute you through the cities. In either scenario, the itinerary’s content will be preserved to the greatest extent possible, and any unused or unavailable excursion fees will not be refunded.

5)For your failure to adhere to customs laws, ACT disclaims all liability.

6)When necessary, ACT is required to offer both the clients and the relevant legal offices the best assistance possible with the investigation. ACT shall not be liable for any criminal acts, or any acts of the clients considered criminal by the laws of the nation visited.

7)Many of our travel packages feature activities that call for extra caution and care, such as getting on and off boats, walking, climbing slopes, going into and coming out of tombs and caves, etc. While our professionals will assist you and provide helpful guidance, all actions are taken at your own risk. After its employees and agents have performed their duties and exercised the required caution, ACT and its employees and agents assume no liability for any action or occurrence that results.

Force Majeure

The Tour Operator will not be held responsible in any way for any death, delay, bodily injury (including emotional distress or injury), illness, damage, or other loss or detriment to person or property that is caused by an act of God, war, or a warlike situation, or for any financial costs both direct and indirect incurred. The Tour Operator will also not be held responsible for the failure of the Tour Operator to begin, perform, or complete any duty owed to you.

Partial Bookings in the Tour

We cannot be held liable for any holiday component that ACT does not directly control failing in the case that an itinerary is only partially booked by us. When consumers want to book accommodation-only deals and make their own travel arrangements, this covers any challenges they may have finding hotels or making rail reservations.

Shopping

Even if the product was discussed between a client and an ACT employee or representative, ACT will never, under any circumstances, recommend or guarantee the value or quality of any additional product that is not expressly listed on the Travel Voucher and that may be purchased during an itinerary that was partially or entirely organized by ACT. The client is solely in charge of determining the worth of a product. In such cases, ACT is under no obligation to step in.

Any goods you might buy during your tour are not warranted or guaranteed to be of a certain quality by ACT.
